SAP Ariba in practice – high expectations, complex reality
SAP Ariba is advertised as a comprehensive platform for sourcing and supplier management. In terms of functionality, the solution offers a wide range of features – from RFx and auctions to supplier management and contract modules.
However, many SAP Ariba project experiences show that the promised end-to-end integration is associated with significant technical and organizational effort in practice. Implementation and ongoing operation quickly become complex - primarily due to additional interfaces, necessary data reconciliation and the parallel system logics of Ariba and S/4HANA.
Integration and IT workload
SAP Ariba Sourcing works outside the SAP system.
Requisitions, quotations, and awarding decisions must be synchronized using middleware – which involves maintenance, data replication, and is prone to errors.
What is exceptional about FUTURA Smart as an alternative to SAP Ariba:
- Entirely within the SAP data model
- Use of standardized OData/REST APIs
- No middleware, no duplicate data
- Standardized master and transaction data in the ERP
The result: Less IT effort, fewer dependencies, less complexity.
Project and operating costs / Total cost of ownership
Ariba Sourcing offers a wide range of functions distributed across several independent modules for sourcing, supplier lifecycle, and performance management. This means that each of these modules requires separate cloud licenses as well as regular interface maintenance and release management. Experience with SAP Ariba often shows that the TCO is higher than expected.
What is exceptional about FUTURA Smart as an alternative to SAP Ariba:
- Runs entirely within the existing SAP system
- No additional cloud licenses
- No parallel platform management
- RFX, evaluation and supplier management in one application
Result: Lower costs, clearer governance, stable operation.
User experience and acceptance
Many purchasing departments report significant differences between the workflows and user interfaces of SAP Ariba and SAP S/4HANA. The system change leads to greater training effort and longer periods of familiarization.
Suppliers also face obstacles in terms of getting started: In order to participate in requests, they must register with the Ariba Network, which involves fees and additional administrative work.
What is exceptional about FUTURA Smart as an alternative to SAP Ariba:
- Standardized SAP-like user interface
- Clear workflows and quick orientation
- Free, integrated supplier portal
- No additional registration for suppliers
Result: Greater acceptance, faster utilization, fewer obstacles.
Functional limitations
Complex item structures in CAPEX procurement scenarios can only be mapped to a very limited extent in SAP Ariba Sourcing. GAEB-based item lists for requesting construction services or newer data models such as Item Hierarchies for Lean Services are not supported at all.
What is exceptional about FUTURA Smart as an alternative to SAP Ariba:
- Complete mapping of all RFX scenarios
- Native support of Lean Services, Item Hierarchies & GAEB
- No additional modules, no customizing for industry-specific logic
- Flexible approvals, evaluation logic and scoring
The result: A system that meets standards and handles complexity.
FUTURA Smart – the better approach to integration
Unlike SAP Ariba, FUTURA Smart works directly within the SAP data model and uses the existing business logic of S/4HANA – instead of duplicating it or recreating it via middleware.
This reduces complexity in the system 's environment: No redundant data storage, no synchronization processes, no external platform maintenance. Requests for quotation, comparison of quotations, and awarding are based on the same master, transaction, and workflow data that is already available in SAP.
As a result, processes remain traceable, governance and maintenance are significantly simplified, and SAP S/4HANA becomes a comprehensive procurement platform.
Therefore, FUTURA Smart complies exactly with SAP's requirements for clean-core-compliant extensions: No modifications to the core, no middleware, no data replication – and consistent use of standardized SAP APIs.
The core principle of FUTURA Smart is “SAP-native by design” – with three guiding principles:
SAP-native integration:
FUTURA Smart works within the SAP data model – no middleware, no data copies.
Business logic instead of replication:
Existing workflows, authorizations and approval logics are used, not replicated.
Governance through consistency:
All quotation, price and decision data remain part of the SAP document chain and are therefore documented in an audit-proof manner.

FAQ – frequently asked questions FUTURA Smart as an alternative to Ariba
Is SAP Ariba Sourcing an SAP-native solution?
In short: No. Ariba Sourcing is a separate cloud platform that is connected to S/4HANA via interfaces – it does not run within the SAP data model and does not use ERP business logic. This is relevant for companies pursuing a Clean Core strategy: Ariba does not run within the SAP data model and creates additional integration layers that increase effort and complexity in the long term.
In contrast, FUTURA Smart works directly within the SAP data model and integrates RFx processes into existing workflows, authorizations, and the SAP document chain.
How complex is the implementation compared to Ariba?
FUTURA Smart implementation is based on standardized integration paths and is usually completed within a few weeks. No extensive customization or additional modules are required. Ariba projects often take several months because additional cloud components and interfaces have to be configured. FUTURA Smart can go live much faster and with less IT effort.
How does the supplier connection differ from SAP Ariba?
SAP Ariba Sourcing requires the use of the SAP Business Network. This network is not automatically part of S/4HANA, but is a standalone, cloud-based platform that is used for communication between purchasers and suppliers. However, the SAP Business Network must be activated and used in a targeted manner – either via Ariba solutions such as Strategic Sourcing or directly via S/4HANA integration interfaces.
Supplier participation is subject to a fee, and new suppliers can only be integrated via the additional “SAP Business Network Discovery” module. This makes it difficult to integrate new suppliers at short notice and often leads to acceptance issues in practice.
FUTURA Smart is different: The FUTURA Supplier Network – an integrated platform that can be used to invite existing and new suppliers to requests for quotation at no additional cost – is automatically integrated. Suppliers can participate without registering.
This expedites collaboration, reduces administrative effort, and creates more scope for action in operational and strategic purchasing.
Is FUTURA Smart suitable for all RFX scenarios?
Yes. FUTURA Smart supports the entire RFX cycle – from operational RFQs and RFIs to complex RFPs and multi-stage bidding rounds. Thanks to flexible configuration options, both simple and strategic procurement processes can be mapped directly in SAP. Specific requirements such as Lean Services, Item Hierarchies, and GAEB structures are also natively integrated.
Can FUTURA Smart be used in alongside SAP Ariba?
Yes. Companies with a high proportion of complex requests or construction and service projects often use FUTURA Smart in addition to Ariba to close functional gaps.
Medium-sized companies pursuing a single-platform strategy based on S/4HANA can also use FUTURA Smart as a standalone solution.
In both cases, all RFX processes run directly within the SAP system – without interfaces, middleware, or double data storage.
